H2O Hygiene Ltd has the facility to capture your data (name, telephone and email address) through our data capture form on our website. This data is temporarily held within our hosting provider who’s data server is held within the EU. This data is solely used for call back purposes if a visitor chooses to complete our contact web form if they are interested in hearing more about our services. The data is NOT then transferred to a marketing platform to send marketing campaigns. The data is then permanently destroyed if the visitor is no longer interested in the services H2O Hygiene Ltd have to offer. The data will only be migrated over to our cloud based CRM & billing system in the event that the visitor becomes a paying client of H2O Hygiene Ltd.

Data security and protection
We ensure the security of any personal information we hold by using secure data storage technologies and precise procedures in how we store, access and manage that information. Our methods meet the GDPR compliance requirement. All data is stored within a secure server held within the EU.

Email marketing messages & subscription
We use an email marketing service, Mailchimp, to fulfil our email marketing campaigns. The campaigns are sent to relevant Client Data Segments that are split by existing clients for relevant communications and to prospective clients with legitimate interests.

Data Stored for billing purposes
We hold all client data, both B2B & B2C, within our cloud based CRM & invoicing system. We hold, Name, Email Address, Company Address, telephone number and financial information. The system is hosted on an encrypted server held within the EU and is password protected.

Data Retention period
We hold all captured data on our system for as long as the client is “Active” and 12 months after the contract is cancelled. As soon as the contract is cancelled, expires or does not proceed, then the contact’s name and email address will be removed from the system, leaving the company transaction information on our system for 7 years for HMRC reasons. Industry required compliance reports are retained for 5 years. Your data is never sold to any third party companies.

Our website is linked to Google Analytics to track visitor behaviours in order to help us improve our services and information shown on our website. Google Analytics records visitor IP addresses.
